Most problems at events are not caused by bad suppliers. They are caused by two people who each assumed the other had understood something.



The fix is unglamorous and it works: write things down.



Start with the brief. When you first contact someone, tell them four things. The date and time. The location and what kind of space it is. The number of guests. What the occasion is. That last one seems soft but it is the most useful, because a good supplier will adjust everything about their approach depending on whether this is a corporate evening, a milestone birthday or a casual get together.

This single request prevents the majority of disputes, because it forces both sides to be explicit about things that would otherwise stay assumed.



When you get quotes from two suppliers, compare the lists rather than the totals. Almost always one includes something the other charges for, and the cheaper headline number turns out to be the more expensive package.



Some specific items to confirm in writing, regardless of what you are booking.



Arrival and setup time, and how long setup takes. This determines when you can let guests in.



What they bring and what you provide. Equipment, power, tables, anything physical.



Duration of the service and what overtime costs if you run long. Discovering the overtime rate at midnight is a bad experience.



Payment terms. Deposit amount, when the balance is due, what form of payment.



Cancellation on both sides. What you lose if you cancel, what you get if they do.



A contact number for the day itself, ideally of the person who will actually be there rather than the office.



None of this needs a formal contract. An email that says here is what we agreed, followed by the list, and a reply saying yes, is sufficient for almost every private event. What matters is that it exists in a form both of you can look at later.



On choosing suppliers in the first place, a few signals worth reading.



How fast and how clearly they answer questions. Someone who responds to a detailed question with a vague answer will be vague on the night too.



Whether they ask you questions back. Suppliers who have done this a lot will want to know about the space, the numbers, the timing. Someone who quotes without asking anything has not thought about your event specifically.



Whether they push back. A professional who says the thing you asked for will not work in your space and suggests an alternative is more valuable than one who agrees to everything.



References from actual clients, not website testimonials. Anyone real can arrange a phone call with a past customer.



On the day, appoint one person as the contact. Not you, because you will be busy hosting. Somebody who knows the plan, has the phone numbers, and can make small decisions without finding you. This single arrangement removes most of the stress of running an event.



And pay people properly and on time. The event business runs on reputation in both directions. Suppliers talk to each other, and being known as someone who is organised and pays without fuss gets you better service and better prices the next time.
