People plan events by thinking about what they want. Then the bill arrives and they think about what they got. The gap between those two is almost always caused by costs that were invisible during planning.



Here is a realistic picture of where money goes, in rough order of size.



Venue is usually the biggest line, and it is the one with the most hidden weight. Ask for the total including everything before comparing two venues, because a cheaper base rate with four add ons can easily cost more than a higher rate that includes them.



Food is second and it scales brutally. Every additional guest costs the same as the last, with no economy at all. This is why guest list decisions are budget decisions in disguise. Cutting ten people from a list of fifty does more for your budget than any amount of negotiating with suppliers.



Drinks behave differently. There is a large fixed component, the ice, the glasses, the mixers, and then a variable part that depends on how long people stay. An evening running two hours longer costs meaningfully more, which is one reason to have a sense of when it ends.



Entertainment is the line people either overspend or underspend on, rarely in between. The common error is booking something impressive without budgeting for the sound and lighting it needs to work. A performance in a badly lit room with thin sound is a wasted expense no matter what you paid for it.



Sound and lighting together usually come to less than people fear, especially rented. This is the best value line on the list because it improves everything else. Good light makes a modest venue look considered. Adequate sound makes music work instead of irritating.



Then the small items, which collectively are not small. Transport for equipment. Someone to run the sound if nobody in your group can. Decoration, which always costs twice the estimate. Ice, which people forget entirely and which is needed in quantities that surprise first time hosts. Rubbish disposal. Tips.



Contingency is the line nobody includes and everybody needs. Ten percent on top of everything. Something will go wrong, a supplier will add a charge, you will need a taxi at short notice for something you forgot. If you finish without spending it, good.



A few ways people save money without the event feeling cheap.



Timing. A Thursday costs less than a Saturday almost everywhere. An afternoon costs less than an evening. If the date is flexible, the flexibility is worth real money.



Season. There are quiet months in every market and busy ones, and prices move accordingly. Booking three months out in a quiet period gets you attention and a better rate. Booking three weeks out in the busy season gets you whatever is left.



Self catering the easy parts. Drinks and simple food can be handled yourself. Anything requiring hot service on the night should not be.



Skipping decoration in favour of lighting. This is the highest leverage swap available. A hundred spent on lighting changes a room more than three hundred spent on things to hang from the ceiling.



And the thing that costs nothing: deciding early. Late decisions cost money at every stage, in rush fees, in limited availability, in accepting whatever is left. The difference between planning six weeks out and one week out is often twenty percent of the total budget, and it comes entirely from having options.
