The question comes up every time somebody plans a gathering larger than a dinner. Do I buy a portable speaker, or do I rent a proper sound system? The answer depends on numbers that are easier to work out than most people assume.



Start with the space and the headcount, because those two decide everything else.



A room holding fifteen people needs very little. Human bodies absorb sound, and fifteen bodies in a living room absorb a surprising amount, but a decent portable unit still covers it. You are not trying to fill a hall, you are trying to stay audible over conversation. Something in the range of thirty to fifty watts handles this comfortably.



Thirty to forty people in a larger room or a small hall is where portable units start failing. Not because they cannot go loud, but because they distort when pushed. You end up with music that is technically loud and genuinely unpleasant, all midrange and no depth. This is the point where renting starts to make sense.



Above sixty people, or anywhere outdoors, rent. Outdoor spaces have no walls to reflect sound, so everything you produce travels away and disappears. A system that sounds enormous in a living room sounds thin in a garden. The rule of thumb people in the business use is roughly five watts per person indoors and closer to ten outdoors, which tells you how much the environment matters.



Now the money question.



A good portable speaker costs somewhere between two and four hundred, depending on the market. If you host twice a year, renting wins on pure arithmetic. If you host monthly, buying pays for itself inside a year and you also get a speaker for everything else in your life.



But there is a factor people forget: responsibility. A rented system arrives working, gets set up by someone who does this daily, and leaves. If something fails, that is their problem. A speaker you own is your problem, at the worst possible moment, in front of guests.



Some practical notes if you go the rental route.



Ask what is actually included. A quoted price sometimes covers the speakers and nothing else, and then you discover that stands, cables and a mixer are separate items. Get the full list in writing.



Ask about power. Two speakers plus a subwoofer plus lighting on one domestic circuit is how you trip the breaker at the peak of the evening. A venue used to hosting will know its own limits. An apartment will not, and you should count sockets before the equipment arrives.



Ask when they collect. Some companies want the gear back the same night, which means someone sober and awake at two in the morning. Next day collection is worth paying a little extra for.



If you buy, a few things matter more than the specification sheet. Battery life if you plan to use it outdoors. Bluetooth range, because a speaker that drops out every time someone walks past with a phone ruins an evening slowly. And a physical volume control that is easy to reach, because you will be adjusting it all night and hunting through an app in a dark room is miserable.



One more thing worth saying. The most common sound problem at small events is not insufficient power, it is placement. A speaker on the floor in a corner sounds muddy no matter what you spent on it. Get it up to roughly ear height, keep it away from walls, and point it across the room rather than into it. That change costs nothing and does more than doubling your wattage.
